Role: Administrator (Clinical) 
Location: London
Length of contract: 12 months maternity cover 
Hourly rate: £13.15 - £13.75 per hour PAYE


Advantage Resourcing is seeking candidates to apply for an administrator for a well established London University.

Key Responsibilities 
To be the first point of contact for students, employees and visitors accessing the Workplace Health Service either by telephone, email or in person and to treat clients in a courteous and professional manner.
Manage the Workplace Health communication, including email, post and telephone calls and directing them to the appropriate team member.
Monitor and maintain the email accounts, dealing with and responding to emails appropriately in line with Human Resources communication standards
Manage and maintain the clinical diaries, booking appointments for clients and sending out relevant forms and questionnaires prior to appointments. To process all related questionnaires which are received from the portal.
Ensure that all relevant information in support of daily clinics is available to the clinical team prior to running the clinic.
Maintain accurate, confidential and secure systems for recording electronic and scanning paper occupational health records.
Undertake secretarial work in support of the clinical staff, including minute taking at team meetings.
Raise purchase orders and deal with any related queries.
To work collaboratively and provide cover and assistance with the duties of other administrative staff.
Contribute to the development of administrative procedures and practice.
Contribute to the continuous improvement 
Maintain an awareness and observation of Fire and Health & Safety Regulations.

Key skills set
Previous experience in a similar customer facing role
Experience of providing a broad range of administrative and secretarial support to the team
Ability to communicate effectively, professional and calm approach when handling difficult situations
Ability to build relationships internally and with third party suppliers
Work at pace whilst maintaining a high level of accuracy and attention to detail
Ability to manage own time effectively, prioritising tasks when required, multitasking and meeting deadlines
Highly skilled in understanding, empathising and delivering against customer needs
Accuracy and attention to detail 
Self-motivated and possessing the ability to work on own initiative 
Computer literate with the ability to use Microsoft Office
