Job Description:

**Administrator -  Milton Keynes -  6 Months  -  (£10.50 per hour) £84 day rate PAYE/ £96 day Umbrella (In Scope of IR35)**

This is an exciting opportunity for an experienced Team Organiser / Personal Assistant/ Administrator to join a large rail organisation based in Milton Keynes.

The main purpose of the role is to support the HR team and provide an efficient and effective general administrative and secretarial support service.  The HR team is built up of 30 people of all different levels, which does get quite busy.  Due to the nature of the team, the successful candidate will have exposure to confidential documents.

Key Responsibilities
You will be accountable for general office administration duties including control of all mail, diary management for the HR director, processing and maintaining personnel records including vulnerable assets such as mobile telephones; make necessary returns.  Also arranging travel, hotels and vehicles.

You will organise meetings and the production, collation of documentation for and resulting from them. Take minutes when required and follow up actions from the meeting.  Provide a consistent telephone presence on behalf of the team delivering excellent customer service levels.  Provide communications to the team, including sending messages as required.

Maintain an efficient filing system paying particular attention to records of standing meetings, statutory records and authorisations.  Utilise financial and procurement systems and act as Local Purchasing Agent (where directed) by ordering stationery and other office consumables as required.  Report team problems e.g. IT and office facilities and monitor response.  Undertake administrative tasks as directed including technical literature searches for the team.  Undertake the role in a way that is consistent with, and reinforces, Network Rail’s values.

Key skills
Strong organisational, coordination and administrative skills
Background in supporting senior management in financial, procurement or HR departments is advantageous
Ability to multi task.
Good time management
Excellent communication skills (verbal and written) including excellent telephone manner.
Strong team player
Knowledge of the rail industry and knowledge and experience of records management is desirable
Excellent IT systems knowledge and experience
